We process (sensitive) personal data via our website koenenenco.nl, our customer portal My Koenen en Co and other online applications such as Loket.nl and Exact Online. Koenen en Co considers careful handling of personal data to be of great importance. Consequently, we process personal data carefully and in a secure manner. In all our data processing operations, we adhere to the requirements of the General Data Protection Regulation (enshrined in Dutch law as the Algemene Verordening Gegevensbescherming/AVG). That means, among other things, that we:

  • Indicate the purposes for which we process personal data. We do so via this privacy notice.
  • Limit the personal data we collect to the items of personal data that are required for legitimate purposes.
  • Request your consent to process your personal data first in cases where your permission is required.
  • Implement appropriate technical and organisational security measures to protect your personal data and also require this of parties who process personal data on our behalf.

As the party with responsibility for data processing, Koenen en Co is the data controller. This privacy notice explains what personal data we collect and for what purposes. We recommend that you read it carefully.

Use of personal data

You leave certain items of personal data behind when you download files (such as our magazine or ‘Suczes’ sheet), request information, apply for a job or simply contact us on our website, or when using one of our applications. Personal data is all data that can be traced back directly or indirectly to a specific person.

Contact initiated by you

After a contact or information request, we collect and store your name, email address and other data provided by you for the purpose of giving you a response. The same applies after a request for a quotation or registration for an event. We will retain your data for as long as we have a legitimate interest in doing so, e.g. for marketing purposes. However, as soon as you object to us retaining your data, we will erase it immediately.

Creating your account on our website in order to log on in My Koenen en Co and Loket.nl

We collect and store your name, login details, IP address and customer number for as long as you wish to use these facilities. We will erase your data as soon as you ask us to do so.

Your online job application

When you apply for a job vacancy online, we will collect and store your name, email address, CV and other details provided by you for the duration of the job application procedure. We will erase this data no later than four weeks after the end of this period, unless you have asked us to retain the data for a longer period.

Digital newsletter, for which you have registered

In order to send you the digital newsletter, we collect and store your name and email address and your preferences regarding specific services/products/interest areas. We also like to keep you up to date with all kinds of relevant information to help you run your business successfully. In order to do so, we store your contact details (postal address, telephone number, email address). We keep a record of this information for as long as you indicate that you would like to continue receiving this information. If you no longer wish to receive this information, you may opt out at any time by sending an email to info@koenenenco.nl and clicking the opt-out link in our emails.

Marketing

We like to keep you up to date with all kinds of relevant information to help you run your business successfully in all six dimensions. We provide this information:

Newsletters

We send you newsletters containing useful information. We will only add your email address to the list of recipients of our newsletter with your explicit permission. Each newsletter contains a link that you can use to opt out again.

Contact form

If you fill in a contact form on the website, or send us an email, the data you send us will be kept for as long as necessary to ensure proper handling and a complete response, given the nature of the form or the content of your email.

You can opt out from this service at any time by clicking the ‘opt-out’ link at the bottom of the newsletter. We will erase your data immediately in response.

Google Analytics and Tag Manager

We use Google Analytics and Tag Manager to monitor how visitors use our website. We have entered into a data processing agreement with Google to agree how our data is handled. Furthermore, we do not allow Google to use the information obtained in this way for other Google services and we also ensure that the IP addresses are anonymised.

Security

We implement appropriate technical and organisational security measures to prevent misuse of and unauthorised access to personal data.

Business use

To measure the business use of our website, we use the service provided by Leadinfo Rotterdam. This service shows us company names and addresses based on the IP addresses of our visitors. The IP address itself is not recorded.

Storage period

We do not retain your personal data any longer than necessary for the aforementioned purposes, unless a longer retention period is applicable by law. Your personal data is erased as soon as possible after these purposes have been achieved, or the legal retention period has expired. Your personal data is stored on servers in the Netherlands.

Disclosure of data to third parties

In some cases, we have to engage third parties to support us when carrying out certain tasks. If these third parties are able to access your personal data, we ensure that they handle your personal data carefully and in accordance with the GDPR. We do not transfer personal data to third parties.

Third-party websites

This privacy notice does not apply to third-party websites that can be accessed via links on this website and to which we do not transfer any items of your personal data. We cannot guarantee that these third parties will handle your personal data in a reliable or secure manner. We recommend that you read the privacy notice of these websites before using them.

Your rights

ou have the right to submit a request to us to access and view the items of your personal data that we use in our processes. You also have the right to request correction of your personal data or erasure of that data from our system. If you believe that the personal data we process is not, or no longer, accurate or complete, you can object to processing of your personal data, submit a request to supplement, update, correct or erase your personal data, or submit a request to limit processing of your personal data. You also have the right to transfer/have your personal data transferred to a third party.
