The role as Operations Coordinator is very diverse. You are the key person between the back office and warehouse, ensuring smooth and efficient processes. A great aspect of the role is focused on supply chain, but it also involves customer service, sales support, procurement of goods and services and financial responsibility. Your responsibility is to effectively manage and integrate the operations of the warehouse and back office and strive for process improvements and professionalization. You will work closely with the Managing Director to drive the daily operations and make sure it runs smoothly.

Key responsibilities

Coordinate Sales Back Office activities

  • Coordinate the sales back office team with the clear aim to deliver the highest service level to all customers;
  • Assure accurate and updated information (e.g. pricing, sales data, etc) is available for the team and the sales managers;
  • Define clear roles and responsibilities of the team’s members; establish clear metrics/targets and provide the necessary support to achieve the goals; follow up the progress on a regular basis;
  • Work together with the HR in order to assure and monitor the team’s motivation, performance and adherence to the company working policies.

Responsible for company’s supply chain management

  • Execute order management with all suppliers;
  • Keep direct communication with suppliers to discuss performance metrics; provide performance feedback; discuss production forecasts or change;
  • Assure availability of goods according to the sales plan and evaluate sales data on regular basis, ensuring correct inventory levels and inventory targets;
  • Have regular communication with the sales managers, product managers and management to understand and administer the sales trends and commercial agreements/conditions.

Manage the warehouse team and activities

  • Coordinate all operational and personnel policies/procedures in the warehouse.
  • Ensure the company complies with federal, state, and local warehousing, material handling, and shipping requirements and law; advising management on needed actions.
  • Safeguard warehouse employees, operations and contents by establishing and monitoring security procedures and protocols.
  • Maintain proper physical condition of the warehouse by planning and implementing new design layouts; inspecting equipment; issuing work orders for repair and requisitions for replacement.
  • Achieve financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Maintain warehouse staff by recruiting, selecting and training employees with the support of HR department.
  • Maintain warehouse results by coaching, counselling, and providing feedback to employees with the support of HR department; planning, monitoring, and appraising job results.

Main skills needed in the position


  • Knowledge on Microsoft Office applications (Office 365)
  • Knowledge of SAP/SAP B1
  • Excellent communication skills (in English)
  • Strong leadership skills
  • Ability to work under pressure
  • Proven experience warehouse management activities
  • Availability to travel abroad

Nice to have

  • Knowledge of SAGE
  • Additional languages (Dutch, German, Portuguese)
  • A degree in business management or experience with a commercial/logistic focus
  • Proven experience on supply chain management and sales back office activities
